How Cold Email Costs Are Calculated

The calculator walks through the math in the same order a sending operations lead would:

Step 1: Total emails

Total emails = Total Prospects ร— Number of Sequence Steps

A sequence with 3 steps and 5,000 prospects means 15,000 emails to send across the campaign.

Step 2: Daily email volume

Daily volume = Total Emails รท (Campaign Weeks ร— Sending Days per Week)

This is the average number of emails your infrastructure has to move per day to finish on schedule.

Step 3: Required mailboxes

Required Mailboxes = Daily Volume รท Daily Sending Limit per Mailbox

Mailboxes are always rounded up. You cannot buy half a mailbox, and running any single account above its safe limit is one of the fastest ways to hurt deliverability.

Step 4: Required domains

Required Domains = Required Mailboxes รท Mailboxes per Domain

Domains are also rounded up for the same reason. Spreading mailboxes across multiple domains isolates risk if one domain runs into a reputation issue.

Step 5: Costs

Google Workspace pricing built into the calculator:

  • Monthly mailbox cost = Number of Mailboxes ร— $5

First-month vs. recurring:

  • First-month cost = annual domain cost + one month of mailbox and software costs.
  • Monthly recurring cost = mailbox cost + software costs.
  • Annual cost = annual domain cost + (monthly recurring cost ร— 12).

The calculator does not double-count the first month of mailbox fees inside the annual total.

If you choose Other / Custom, the calculator swaps in the domain-per-year and mailbox-per-month values you enter. Google Workspace pricing is not applied to that option.

What the ROI number means

A positive ROI means your assumed revenue is greater than your campaign cost. A negative ROI means it is not. Because reply rates and conversion rates vary widely by industry, offer, and list quality, the calculator does not label any ROI figure as good or bad. Compare the result to your own benchmarks, or run the calculator twice with a conservative and an optimistic reply rate to see the range.

The calculator gives you a planning number. The real return depends on a handful of factors that are easy to overlook until they show up in your reply rate:

List quality

A verified, well-targeted list of 2,000 prospects usually outperforms a scraped list of 20,000. Bad addresses inflate bounce rates and damage sender reputation before the campaign gets going.

Deliverability setup

SPF, DKIM, DMARC, mailbox warm-up, and sensible daily volumes decide whether your emails land in the inbox or in spam.

Copy and offer

The message and the reason to reply drive reply rate more than any tool. Segmented, personalized copy consistently beats generic templates.
